Choosing a Groomer App: What to Check Before You Switch
Switching software is a real cost for a small grooming business. Client records have to move, groomers have to learn something new, and for a few weeks everything feels slower. So the choice is worth making carefully. This last article in the series is a checklist of what to look for in a groomer app, written for owners running one to a few vans.
Start With the Groomer's Day
The previous article, The Solo Groomer's App: Grooming, Texting and Getting Paid From One Phone, looked at one person doing everything. Whatever your size, start your evaluation the same way: with the groomer standing at the curb. Most software looks fine from the office. The question is whether it helps the person with the clippers.
Open the app on a phone and ask: could a groomer who has never been to this house do this appointment correctly from what is on the screen?
Pets on the Card, Not Just an Address
A grooming appointment is about pets. Check that the app shows, for each pet at the home:
- Name, and whether it is a dog or a cat.
- Breed, size and coat, in a consistent way rather than buried in free text.
- Cut notes and behavior notes.
- A rabies due date, if your business tracks one.
- Room for more than one pet on a visit.
Then check the add-ons and the van notes: parking, gate codes, outlets and water hookups. If any of these live only in a generic notes box, they will get missed. How PetGroomBossPro handles this is in Breed, Size, Coat and Cut Notes: Reading Each Pet on the Groomer App Card.
Does the Next Visit Fill In From the Last One?
This question separates grooming software from general scheduling tools. When a six-week regular comes up again, does the visit already know the pets, the cut and the add-ons? Or does someone re-type them?
Carry-forward is what saves the most time across a year of repeat appointments, and what keeps cuts consistent when a different groomer takes the van. Ask to see it work across two visits, not just one.
Set Times and Real Repeat Appointments
Mobile grooming runs on appointment times. Check that times show on every card on the groomer's phone, not just in the office. Then look at repeat appointments: can a client be booked every 4, 6 or 8 weeks on the same weekday, time and van? Can the office see upcoming visits, confirm them and change the van, day, time or price for future visits easily?
In PetGroomBossPro, repeat visits are written up front and wait on Pending Jobs until the office confirms them the day before.
The Record of the Groom
After the groom, what does the app keep? Look for:
- A per-pet checklist of what was done, including add-ons.
- A note for the customer, separate from internal notes.
- Before-and-after photos saved with the appointment.
- Something you can give the owner, like a printable report.
That record is what answers customer questions weeks later.
Texts, Payment and the Customer
A groomer app should take work off the groomer, not add it. Check for automatic on-the-way and arrived texts, with customers choosing which alerts they get, and replies going to the office instead of the groomer's personal phone. Check what happens on Complete: is the invoice created automatically, and can a card on file be charged right then? Can customers tip on the invoice? If you run monthly accounts, can they get one statement for the month?
Any Phone, Any Groomer
Find out what devices the app needs. A groomer app that runs on iPhone and Android in the browser, with no app store download, is easier to roll out to a team with mixed phones. Check that each person has their own login or PIN, so work and hours are tied to the right person, and that a groomer and a bather can share a van. Finally, ask whether the app includes a time clock and van GPS for the office, or whether those are separate tools to pay for.
