Charging the Card on File When the Groomer Taps Complete
Getting paid is the least fun part of mobile grooming. Nobody wants to stand at the door with a wet dog in one arm and a card reader in the other, or chase a regular for three weeks because they forgot to send a payment. Charging the card on file at completion takes the whole step off the groomer's plate.
Complete Creates the Invoice
The last article was The Arrived Text: Letting the Pet Owner Know the Grooming Van Is Out Front, about the start of a stop. This one is about the end. When the groomer taps Complete, PetGroomBossPro creates the invoice right away. It has:
- The service (full groom, bath and brush, puppy intro groom, cat groom, nail trim).
- Any add-ons ticked on the appointment, each as a line item.
- Sales tax, if you charge it.
Prices come from your own service list. A $85 full groom for a small dog with a $15 teeth brushing shows as two lines at your prices, not whatever the groomer remembers at the curb.
The Card on File Can Be Charged Right Then
If the customer has a card on file, it can be charged when the job is completed. The groomer does not touch the card or ask the customer for anything. By the time the van pulls away, the invoice is paid.
Cards get on file in a few ways: through a sign-up form on your website (the card is captured when the customer signs up), through the customer app where the customer can update their card any time, or when the office adds it. The more regulars have a card on file, the less chasing there is.
Auto-charge can also run on a schedule instead of at completion, if that suits your business better. Either way, the groomer is out of the payment business.
Tips in the Customer App
Grooming is a business where tips matter, and many owners want to tip but do not carry cash. In the customer app, a customer can leave a tip on a paid invoice: $10, $20, $30 or another amount. The office has a tips report, so the owner can see tips and pay them out to the groomers who earned them.
That works far better than a tip jar in the van or an awkward “would you like to add a tip?” at the door.
Customers Without a Card on File
Not everyone puts a card on file. For those customers, the invoice still appears in the customer app when the groomer completes the job, and they can pay it online there. If it goes unpaid, past-due follow-up helps the office chase it without awkward phone calls.
New customers are a good moment to ask. When the office confirms a first appointment, mentioning that regulars usually keep a card on file and are charged after each groom makes it feel normal.
Monthly Accounts Get One Statement
Some grooming work is not one customer, one invoice. A senior living community's pet day, a doggy daycare bath day or an apartment community might have the groomer out several times a month. Charging after every visit would be messy for everyone.
An account set to monthly billing gets one statement each month covering every visit. The groomer taps Complete the same way, and the billing side groups the visits into the statement. Those accounts look like any other card on the groomer's phone.
What the Office Sees
When the groomer completes an appointment, the office sees the job done, and the invoice created, instead of waiting on a stack of paper slips at the end of the week. The office also sees the checklist, the customer note and the photos on the job, which helps if a customer has a question about the bill.
The full office view is covered in What the Office Sees When the Groomer Completes an Appointment.
It also changes the feel of the visit for the customer. The owner gets their dog back, says thanks, and that is it. No card reader, no cash, no “I'll send it later.” The receipt and the invoice are in the customer app whenever they want them.
Paid Before the Next Driveway
For a small grooming business, cash flow is the difference between a calm month and a stressful one. Payment at completion means the money arrives when the work is done, not whenever the customer gets around to it. For a solo groomer, it also means one less evening spent sending invoices. The one-van setup is covered in The Solo Groomer's App: Grooming, Texting and Getting Paid From One Phone.

Paid at the Curb
PetGroomBossPro creates the invoice when the groomer taps Complete and can charge the card on file before the van leaves. Tips come in through the customer app.
