A Weekly Billing Routine for the One-Van Grooming Business
When you run one grooming van, you are the groomer, the scheduler, the receptionist and the bookkeeper. Billing tends to get done in scraps — a text here, an invoice there, a late night once a month to catch up. A short weekly routine replaces the scraps. Pick a day, sit down once, and the billing for the week is done.
Why a Weekly Routine Works
Groomers outside the US face the same billing jobs, in their own currency, as covered in Billing Grooming Customers in Their Own Currency: US, Canada, Australia, New Zealand and the UK. Wherever you work, a routine is what keeps those jobs small.
If most of your clients have a card on file charged when you tap Complete, most of your billing already happens on its own. The weekly routine is for the exceptions. A week is long enough that you are not checking constantly, and short enough that nothing goes stale. Pick a quieter day, such as the morning of your day off or the evening before a light route.
Step 1: Look at What Is Still Out
Start with the reports and open invoices. In PetGroomBossPro, reports show what was billed, what was paid and what is still outstanding. The open list is your to-do list for the session.
Go through it one invoice at a time and sort each one: a declined card, a client with no card on file, or a monthly account. Each type has a different next step, and most take less than a minute.
Step 2: Clear Declines and Send Reminders
For declined cards, send a short, friendly text through two-way texting asking the customer to update their card in the customer app. For customers who updated their card since the decline, charge the invoice again.
For no-card customers with open invoices, send a polite reminder pointing to the invoice in the customer app. For anything older than your usual window, send a second reminder. The wording and timing are covered in Past-Due Grooming Invoices: Following Up Without Losing a Good Client.
Replies come back to the same texting thread, so any questions are easy to answer later in the week.
Step 3: Check the Tips Report
Open the tips report and look at the app tips that came in during the week. If you work alone, this is mostly a nice moment and a note for your books. If you have a bather on the van, use it with your tip policy to work out what to pay out. The report shows the tips; the split, if any, is yours to apply.
It is also a good moment to send a quick thank-you text to any customer who tipped. For more on the tips report, read The Grooming Tips Report: Every App Tip in One Place.
Keep the whole session short. If one step starts to take a long time every week, that is a sign something upstream needs fixing, such as too many customers without a card on file, or add-ons being missed on the job. Fix the cause and the routine shrinks again.
Step 4: Monthly Accounts
If you groom for a senior living community, a doggy daycare or an apartment community set to Monthly, check that the week's visits look right: the right services and add-ons on each one. At the end of the month, one statement covers every visit, so catching a mistake weekly is easier than finding it on the statement.
If an account's last statement is still open past its terms, add a polite follow-up to the list.
Monthly accounts reward the same steady attention. A visit that was right on the day stays right on the statement, and the person approving the bill sees one clean list.
Step 5: Look at Next Week
Finish by looking ahead. On Pending Jobs, next week's repeat visits are already written with their planned day, time and van. You will confirm them the day before as usual, but a quick look now helps billing too:
- Any client with an open invoice coming up? Send a friendly note before the visit.
- Any new client without a card on file? Ask them to add one in the customer app.
- Any price change due to start? Update the price on upcoming visits from the Recurring Clients list.
- Any new pet or size change you noticed this week? Update the pet so the next invoice is right.
Once the routine settles in, the open list stays short, declines get fixed while the groom is still fresh, and billing stops following you home. The rest of the week, you just groom and tap Complete. To see every billing tool behind this routine, visit the pet grooming invoicing software page.
