Getting Paid Before You Leave the Driveway: A Payment Routine for Mobile Groomers

Every unpaid groom is a small chore that follows you home. A text to send, a reminder to write, a customer to catch next time. One of those is nothing. Ten a week is an evening. The goal for a mobile groomer is simple: every visit that can be paid in the driveway gets paid in the driveway.

The Routine Starts the Day Before

The mechanics of charging at the end of the groom were covered in Charging When the Groom Is Complete: Payment the Moment the Groomer Taps Complete. This article is about the routine around that tap, so it works at every stop instead of most of them.

Getting paid in the driveway really starts in the office the day before. When the office confirms tomorrow's visits from Pending Jobs, it is worth a quick look at each one: are the right pets on the job, are the add-ons right, and does the client have a card on file? A new client with no card is better caught the night before, with a friendly text, than at the van door.

For a customer who pays without a card on file, that same text can mention that the invoice will come by email and in the customer app, so nobody is caught off guard.

At the Door: Check the Card Against the Home

When the groomer arrives, the groomer app shows each pet with breed, size, coat and cut notes, plus the add-ons and van notes. That is the moment to notice anything that does not match. Is there a new puppy in the house? Is one of the dogs missing because he is boarding this week? Does the customer want something extra today?

Catching that at the door, before the groom starts, is far easier than fixing an invoice afterward. The groomer notes it, the office updates the job, and the bill will be right when the groom ends.

During the Groom: The Checklist Does Double Duty

The grooming checklist for each pet — from coat and skin checked on arrival through bath, dry, haircut, nails, ears and final brush-out, plus the add-ons — is there for the quality of the groom. It also protects the bill. When every step and every add-on is checked off, there is a record of exactly what the customer is paying for.

If the groomer does an add-on that was not planned, like extra de-matting, this is the time to flag it so it can go on the job. For how to handle those changes, read When the Groom Changes on Site: Invoicing Extra De-Matting and Skipped Add-Ons.

The Last Two Minutes: Complete, Charge, Go

When the last pet is done and handed back, the groomer takes the after photos if they use them, adds a note for the customer if there is one, and taps Complete. The invoice is created from the job with sales tax. If there is a card on file, it is charged. The customer gets the invoice by email and in the customer app, where they can also leave a tip on the paid invoice.

Then the groomer taps navigation to the next stop. The automatic “on the way” text goes out to the next customer, and the last visit is finished — groomed, billed and paid.

What to Do With the Ones That Do Not Pay in the Driveway

Even with a good routine, a few stops will not be paid on the spot:

The important part is that the groomer does not have to handle any of these in the driveway. Their job is to groom and tap Complete. The exceptions go to the office, where they are easy to find.

Why the Groomer Should Not Be the Collector

Asking a groomer to collect payment at the door, especially when the customer is distracted or not home, puts them in an awkward spot and slows down the route. The more the payment can happen without them, the better the day runs.

A card on file, charged at completion, takes the groomer out of the money conversation. The customer relationship stays about the pet. If a payment needs a follow-up, it comes from the office, politely, by text or email. Two-way texting keeps that conversation in one place.

Run that routine at every stop and the end of the day becomes a quick look at what is still unpaid, rather than an evening of invoicing. To see all the billing tools that support this routine, visit the pet grooming invoicing software page.

Paid Before the Next Stop

PetGroomBossPro creates the invoice and charges the card on file when the groomer taps Complete, so the driveway is the last place you think about that visit.
