Card on File for Mobile Groomers: Save the Card Once, Charge It Every Visit
A mobile groomer's best customer is the one who books every six weeks, leaves the gate code in the notes, and never has to be asked for payment. The card on file is what makes that last part possible. Save it once, and every visit after that can be paid without a knock on the door.
Why a Card on File Fits Mobile Grooming
The last article, From Estimate to Grooming Invoice: Keeping the Quoted Price All the Way to Payment, followed the price from the first quote to the bill. The card on file is how that bill gets paid.
Mobile grooming has a payment problem salons do not. The customer is often not standing in front of you when the groom ends. They are inside on a call, at work, or picking up kids. Cash means somebody has to be home with cash. Checks mean an envelope under the mat. A payment link means waiting for the customer to get around to it.
A card on file removes the customer from the payment moment. The groom ends, the invoice is made, the card is charged, and the customer gets the paid invoice. They do not have to do anything except be happy with the dog.
Three Ways a Card Gets Saved
In PetGroomBossPro a card can get on file a few different ways:
- The sign-up form. Your website sign-up form captures the card when the customer signs up. Sign-ups flow into Form Responses, and one click turns them into a client with the card already saved.
- The customer app. Customers can add or update their own card in the customer app, which is also where they see invoices and pay.
- The office. For customers who would rather read the card over the phone the first time, the office can add it.
Whichever way it comes in, the card is on the client and ready for every visit.
Charging at Completion or on a Schedule
Once the card is on file, you choose when it gets charged. The most common choice for mobile groomers is at completion: the groomer taps Complete on the groomer app, the invoice is created, and the card is charged right there. The visit is paid before the van leaves the driveway.
Some businesses prefer to charge later, for example to give customers a chance to look at the invoice first. For that, auto-charge can run on a schedule instead. Both approaches are covered in their own articles: Charging When the Groom Is Complete: Payment the Moment the Groomer Taps Complete and Auto-Charge on a Schedule: When Charging Later Fits Better Than Charging at the Van.
Asking for the Card Without Making It Awkward
Some groomers feel uneasy asking new customers for a card up front. A simple, honest explanation usually does it: “We groom while you're at work a lot of the time, so we keep a card on file and charge it when the groom is done. You'll get the invoice by email and in the app.”
Most customers like that, because it means they do not have to be home or remember to pay. Putting the card step on your sign-up form makes it a normal part of joining rather than a separate request.
For customers who still will not keep a card on file, you can invoice them and let them pay online. That group is covered in Grooming Customers With No Card on File: Invoicing the Clients Who Pay Later.
When the Card Changes
Cards expire, get lost and get replaced. When that happens, the customer can update the card on file in the customer app themselves. The office does not have to take card numbers over the phone, and the next visit can be charged as usual.
If a charge does not go through, the invoice stays unpaid so the office can see it, and a quick text asks the customer to update the card in the app. Declines are rarely about a customer not wanting to pay. They are almost always about an old card.
Tips Ride Along
A customer who never sees the groomer still often wants to tip. Once the invoice is paid with the card on file, the customer can open it in the customer app and leave a tip of $10, $20, $30 or another amount. Those tips show up on the tips report.
The card on file is the single change that moves a mobile grooming business from chasing payments to receiving them. To see it alongside invoices, the customer app and monthly statements, visit the pet grooming invoicing software page.
