Daycare Bath Days and Apartment Community Days on the Grooming Schedule
A doggy daycare that wants its regulars bathed before they go home, or an apartment community that offers residents a grooming day as a perk — these accounts bring a lot of pets to one address on a regular day. For a mobile groomer, they can be a steady base under the house route. Scheduling them well is mostly about holding the day, knowing the pets and keeping billing simple.
Account Days Beyond Senior Living
The senior living version of this is covered in Scheduling a Monthly Senior Living Pet Day. Daycare and apartment days share the same building blocks, with a few differences in who brings the pets and who pays.
- Doggy daycare bath day. The daycare has the dogs on site. The groomer works through a list of baths, brush-outs and nail trims, often with the daycare staff handing dogs over and taking them back.
- Apartment community day. Residents sign up and bring their pets to the van at a set time. The van parks in a spot the property manager has agreed.
Holding the Day on the Schedule
Both kinds of account work best on a fixed day. Add Recurring Grooming books the account weekly, every 2 weeks, monthly or on custom days, on the same weekday, time and van. Every visit is written up front, so the account day is on the schedule for months and the van is not double-booked.
Like other repeat visits, account days wait on Pending Jobs and are confirmed the day before. That is the moment to check with the daycare or property manager how many pets to expect and whether anything has changed on site.
Tracking the Pets
Each visit holds up to four pets, each with name, Dog or Cat, breed, size, coat, rabies due date and a notes line, and add-ons are ticked on the job. For an account day with many pets, the usual approach is several visits at the account's address on the same day and van, each holding a set of pets.
The notes line on each pet carries what the groomer needs: the owner's name or apartment number for an apartment day, or the daycare's name for the dog, plus any behavior notes. Because the next visit fills in from the last one, regulars carry forward to next time.
The rabies due date is a field the groomer or office types in. If an account asks you to keep track of it, that is where it lives on each pet.
Site Notes That Save Time
Account days run on site logistics. The van notes on the address are the place to keep them:
- Where to park: “Back lot, two spaces by the dumpster enclosure.”
- Power and water: “Outlet on the side wall, hose bib behind the gate.”
- Who to check in with: “Ask for the manager on duty at the front desk.”
- Timing: “Dogs go out to the yard at noon, do baths before 11:30.”
A new groomer covering the account can read the notes on the phone and run the day without a phone call.
Setting Times for Residents
Apartment community days are where appointment times matter most. Residents need to know when to bring their pet down. Set a time on each visit and the groomer sees the timetable on the phone. If the property sends residents a sign-up sheet, use it to build the visits and times before the day.
Residents who are already your customers get their usual alerts. Your own two-way texts from the office can handle reminders for the day itself: “Grooming van is in the back lot Saturday from 9:00. Your time is 10:15.”
Billing: One Statement or Many Invoices
How you bill depends on who pays. When the daycare or property pays, set the account to Monthly and it gets one statement each month covering every visit. When residents pay for their own pets, each resident can be their own client with a card on file, charged when the groomer completes the visit.
Agree on this before the first day. A clear setup up front prevents awkward conversations about who owes what later.
Balancing Account Days With House Routes
An account day can take most of a van's day, which leaves fewer slots for house calls. That is often a good trade: a steady account fills a day reliably. Look at the month on the Scheduled list and make sure the account days are spread so house clients still have slots on their area days. If you run two vans, some businesses give account days to one van and keep the other on houses.
