Moving a Mobile Grooming Schedule Off the Paper Book and the Group Text

Plenty of mobile groomers run a busy book from a paper appointment planner, a notes app and a long text history with every customer. It works, until it does not: a page gets coffee on it, a reschedule never makes it from the text into the planner, or someone else needs to see the day and cannot. Moving to scheduling software is less work than it looks if you do it in the right order.

Why Paper Breaks as You Grow

The moment paper usually stops working is when a second person needs the schedule, as covered in Adding a Second Grooming Van: What Changes on the Schedule. But even for one van, paper has limits.

Step One: Bring Your Clients In

Start with the clients. If you have a spreadsheet or a contact export, a CSV import brings them into PetGroomBossPro, and imported addresses are placed on the map automatically. If your list is on paper, enter the repeat clients first; the one-offs can be added as they rebook.

Then add the pets for each home — name, Dog or Cat, breed, size, coat and a notes line for the cut and behavior — and the van notes for parking and hookups. This is the most typing you will ever do. After the first visit, the next visit at that home fills in from the last one, so you never re-type it.

Step Two: Set Up Repeat Slots

Next, turn your standing appointments into repeat schedules. For each repeat client, use Add Recurring Grooming with their usual weekday, time, van and frequency — every 4, 6 or 8 weeks, monthly, or custom days. Every future visit is written up front and waits on Pending Jobs.

Look ahead on Pending Jobs once you are done. The weeks should look like your planner. If something is off — a client on the wrong week of their cycle, say — fix it on the Recurring Clients list before the visits come due. More on fixed slots is in Repeat Grooming Appointments on the Schedule: Every 4, 6 or 8 Weeks in a Fixed Slot.

Step Three: A Short Overlap

Run paper and software side by side for a week or two. Each night, confirm tomorrow on Pending Jobs, route the day, and compare it to the planner. Use the groomer app on the phone during the day, and keep the planner in the van as a backup.

The overlap is where you catch the small things: a client whose time was wrong, a pet whose notes need more detail, a van note that needs the new gate code. Keep it short, though. Two systems for too long is how things fall through the gap between them.

Step Four: Cut Over and Tell Customers

Pick a day to stop writing in the planner. From then on, every change goes into the software first. That is also the moment to tell customers about the new way things work:

Customers who used to text your personal number can keep texting the business number, and those conversations land in two-way texting in one place.

What You Keep From Paper

You do not have to give up paper entirely. If you like a printed day on the clipboard, print a route sheet each morning; see Printing Grooming Route Sheets for the Van. The difference is that the paper now comes from the schedule, rather than being the schedule. If the phone and the sheet disagree, the phone is current.

Try It Before You Move

Before importing anything, click around the live demo, a fully-stocked sample mobile grooming company with no signup. It shows exactly what your day would look like. Then start the 14-day free trial with no credit card and bring in a handful of clients to test. For the whole scheduling picture, see the mobile grooming scheduling software page.

Retire the Paper Planner

PetGroomBossPro imports your clients by CSV, places them on the map, and holds every repeat slot on one schedule your whole business can see.
