Customer History in a Mobile Grooming Business: Every Visit, Note and Invoice in One Place

A customer calls and says, “You charged me twice last month.” Another asks, “What did you do with Daisy's face last time? We loved it.” A third has cancelled late for the third time and you are trying to remember if it really was the third. Each of these questions is easy to answer if the customer's history is in one place, and a small nightmare if it is spread across a calendar app, a notebook, a texting app and a bank statement.

What Customer History Means

Tipping from the invoice was covered in Tips in a Mobile Grooming Business: Letting Customers Tip From the Invoice. Tips, payments and invoices are part of a customer's history, but only part.

Customer history is everything that has happened between you and a client: every visit, every skip and why, every note, every invoice and payment, every text and every estimate. In a mobile grooming business, it also includes their homes and the pets at each one.

One Client, Many Addresses

Some grooming customers have more than one address. A family with a city home and a lake house. A client who has their mom's dog groomed at her place. A property manager with several apartment communities. In PetGroomBossPro, one client can have many addresses, each with its own pets and van notes, but all of the history sits under the one client.

That means one card on file, one set of invoices and one conversation thread, whichever address the van visits.

Visits and Skips

Every completed visit stays with the client, with its grooming checklist, any note for the customer, before and after photos, and the invoice. Every skipped visit stays too, with the groomer's note: “No answer, waited 10 minutes” or “Customer cancelled at the door.”

That history helps you apply your policies fairly. If a client has skipped several times, you can see it before deciding what to do. If a client has been with you for years and never missed, you can see that too, and give them the benefit of the doubt when something comes up. Policies are covered in Writing a Cancellation Policy for Your Mobile Grooming Business.

Invoices and Payments

Payment questions are the ones most likely to cause friction. With every invoice and payment under the client, you can answer them in seconds. Was that second charge a duplicate, or was it the add-on they asked for at the door? Did the monthly statement cover the visit they are asking about? Did their tip go through?

The customer can see their own invoices in the customer app too, which answers many questions before they reach you.

Texts and Estimates

Two-way texting with customers from the office keeps the conversation with the client. When someone asks, “Didn't I tell you about the new gate code?” you can check. Estimates live there too, approved or not, so you know what you quoted and when.

Tags and custom fields add the things that do not fit anywhere else: how they found you, who referred them, which neighborhood they are in, whether they prefer texts or calls. Use them to sort your client list when you need to reach a particular group.

History Makes Handovers Easy

When you hire a second groomer or a part-time office helper, customer history is how they get to know your clients without asking you every question. A new groomer can see what was done on previous visits, read the notes and look at past photos. A helper answering texts can see the whole conversation, not just the latest message.

It also protects the business. If a groomer leaves, their knowledge of the clients stays in the system, not in their head.

History helps with the good moments too. A customer who has been with you for a long time, never skipped and always paid on completion is exactly the kind of regular you want to look after. You might offer them the first pick of a new time slot, thank them with a small extra like a bandana, or ask them for a referral. Without the history in front of you, those customers are easy to take for granted, because they never cause a problem.

Pet History Is Its Own Story

The pets themselves have their own history: the cut, the coat, the behavior notes, the rabies due date. In PetGroomBossPro, each home keeps its pets, and the next visit fills in from the last one. That deserves its own guide, which is next: Pet History in a Mobile Grooming Business: The Cut, the Coat and the Notes That Carry Forward.
