Getting Paid on Completion in a Mobile Grooming Business
The groom is done, the dog is back inside, and the customer is at work. Now what? Leave an invoice under the door? Text and wait? Come back next time and ask awkwardly? Collecting payment is one of the most common headaches in a mobile grooming business, and one of the easiest to fix. The answer is to be paid the moment the groom is complete, without anyone handing over cash or a card at the door.
Why Payment Belongs at the End of the Groom
Watching what is unpaid was covered in Simple Reports Every Mobile Grooming Business Owner Should Check. The best way to keep that unpaid list short is to collect payment on completion, every time.
When payment happens automatically at the end of the groom, there is nothing to chase. You do not need the customer to be home. You do not need to carry cash. And the customer is never surprised, because they agreed to it when they booked.
Ask for a Card on File Up Front
The key step is getting a card on file before the first groom. Make it part of booking: “We keep a card on file and charge it when the groom is done, so you never need to be home to pay.” Most customers like the convenience.
PetGroomBossPro gives you a few ways to collect the card. A sign-up form on your website captures the card, and the response lands in Form Responses, where one click converts the sign-up into a client. Customers can also add or update their card from the customer app at any time. A customer whose card expires can update it themselves, without you asking for numbers over the phone.
Charge on Complete
On the groomer app, when the groomer taps Complete, the invoice is created and the card on file can be charged. The invoice has line items for each pet's service and add-ons, and sales tax if you charge it. The customer gets their invoice, and the van moves on to the next appointment already paid.
You can also choose to charge on a schedule instead of on completion, which suits some regular clients. Either way, the payment happens without anyone remembering to ask. If something was added at the door, like an extra add-on, put it on the job before tapping Complete so the invoice matches what was done.
Online Payment for Everyone Else
Not every customer will put a card on file, and that is fine. They can see their invoices in the customer app and pay online. The invoice is ready the moment the groom is complete, so a customer who pays online can do it before you reach your next stop.
Paying online also gives the customer a chance to leave a tip on the paid invoice: $10, $20, $30 or another amount. Tips are covered next in Tips in a Mobile Grooming Business: Letting Customers Tip From the Invoice.
Monthly Statements for Accounts
Monthly accounts work differently. A senior living community, a doggy daycare or an apartment community set to Monthly gets one statement each month covering every visit, rather than a charge after each pet. Agree on payment terms with the account before the first grooming day. The account can see its statement, update its card and pay from the customer app. The account side is covered in Monthly Accounts for a Mobile Grooming Business: One Statement for Many Visits.
When a Payment Fails
Cards get declined. Cards expire. Customers change banks. When a charge does not go through, the invoice stays unpaid and shows up for follow-up. PetGroomBossPro has past-due follow-up, so customers get a reminder to pay. A short personal text helps too: “Hi! The card on file for Max's groom didn't go through. You can update it in the app whenever is easy.”
Decide your own policy for repeat clients whose payment keeps failing. Some groomers pause the next visit until the balance is paid. Whatever you decide, apply it the same way every time.
Keep the Money Side Simple
Getting paid on completion takes a lot of stress out of a mobile grooming business. A card on file at booking, a charge on Complete, online payment for those who want it, one statement for monthly accounts and a gentle follow-up for anything missed. Your accountant can advise on sales tax and how to handle the books. The software just makes sure the money comes in.
