Van Notes: Parking, Gate Codes and Water Hookups for Mobile Pet Grooming

A salon groomer never has to think about where the building is parked. A mobile groomer thinks about it at every stop. Is there room in the driveway? Is the street too steep? Where is the outdoor outlet? Does this home want you to use their water, or is the van self-contained today? Is there a gate code to get into the community? These are not grooming questions, but they decide whether the first ten minutes of an appointment go smoothly.

Notes for the Home, Not the Pet

The add-ons that ride along on each visit were covered in Add-Ons in Mobile Pet Grooming Software: Teeth, Nails, De-Shed and the Bandana. Van notes are a different kind of detail. They belong to the home, not to any one pet, and they rarely change.

In PetGroomBossPro, van notes are kept on the home and show on the groomer's card every time that home is on the schedule. A client on a six-week series has the same parking note on every visit without anyone copying it over.

Parking

Parking is the most common van note, and a good one is specific:

For apartment and condo clients, a parking note can save a lot of circling. For homes with a narrow street, it tells a new groomer which way to approach so they are not backing out of a dead end.

Gate Codes and Access

Gated communities and apartment complexes often need a code at the entrance. Some homes have a side gate the owner leaves open for pickup. Write it down once: “Community gate code 4417 at the Maple entrance” or “Side gate left open, dogs will be in the laundry room.” The groomer sees it before they arrive.

Because the groomer app needs a company login and a personal PIN, a code stored on the home is shown only to your own team. When an employee leaves, turning off their PIN turns off their access. That is better than a gate code sitting in a group text forever.

Outlet and Water Hookup

Vans are set up differently. Some run on their own generator and water tank. Some plug into the customer's outdoor outlet or connect to a spigot. Whatever your setup, the van note is the place to record what each home offers: “Outlet on the garage wall, right side,” or “Spigot behind the hedge by the front porch.” A groomer who has never been to that house does not have to knock and ask.

The Owner's Preferences

Some notes are about how the owner likes the handoff to go:

Paired with the automatic arrived text, these notes make the pickup quick. The owner knows you are outside, and you know where to go.

On the Groomer's Phone

On the groomer app, the van notes sit on the appointment card with the pets, the cut notes, the add-ons and the past notes. The navigation button opens directions to the address, and by the time the van pulls up the groomer has already read where to park and where to plug in. The full groomer app is covered in The Groomer App: A Mobile Pet Grooming Day on One Phone.

Keeping Van Notes Current

Van notes are only useful if they are right. When something changes, such as a new gate code, a moved outlet or a new HOA rule, update the home once and every future visit shows the new note. If a groomer finds a note is wrong in the field, they can write it in the job notes so the office fixes the home before the next visit.

It helps to read van notes as if you have never been to the house. If a new groomer could not find the outlet from the note alone, the note needs another sentence.

Small Notes, Calmer Stops

None of this is complicated. It is the kind of thing a solo groomer keeps in their head for years. But it is also the first thing that goes wrong when a second groomer starts, when you are covering for someone, or when a client you see every eight weeks has quietly changed something. Van notes on the home make every stop start the same way: park, plug in, go get the dog. For more guides like this, go back to the pet grooming software page.
