One Service List, Many Frequencies: Picking the Repeat Grooming Schedule Per Client

Open the service list in a lot of scheduling tools and you will find something like this: Full Groom – 4 Weeks, Full Groom – 6 Weeks, Full Groom – 8 Weeks, Bath & Brush – 4 Weeks, Bath & Brush – 8 Weeks, and so on down the page. It happens when the frequency is stuck to the service. PetGroomBossPro does it the other way around: one service list, and the frequency is picked per client.

The Problem With a Service for Every Schedule

Monthly and custom-day options are covered in Custom Days and Monthly Schedules for Recurring Grooming Clients. Add those to every-4, every-6 and every-8 weeks, multiply by every service you offer, and a frequency-per-service setup turns into a long, messy list.

That mess causes real problems:

How It Works in PetGroomBossPro

Your service list holds what you actually do: Full Groom, Bath & Brush, Puppy Intro Groom, Cat Groom, Lion Cut, Nail Trim, De-Shedding and whatever else you offer. Each has your price. Add-ons like Teeth Brushing, Nail Grinding, Ear Cleaning or a Blueberry Facial sit alongside with their own prices.

When you open Add Recurring Grooming, you pick the service from that list and then choose how often for this client: weekly, every 2, 3, 4, 6 or 8 weeks, monthly or custom days. The frequency lives on the client's series. The service stays a single entry on your list.

So one Full Groom can be every 4 weeks for the poodle on Maple Street, every 6 weeks for the doodle on Oak, and every 8 weeks for the Bernese on the edge of town, all pulling from the same service.

It also makes the groomer's card cleaner. The card shows the service and the add-ons ticked for that visit, plus each pet's breed, size, coat and cut notes. It does not need to tell the groomer how often the client comes, because that has nothing to do with the work in front of them. The office sees the frequency on the series; the groomer sees the groom.

Prices Come From the List, Then the Series

The price for a repeat client starts from your service list and the add-ons you tick. Your service list can also price off the pets at the address, since the property can hold pet, dog and cat counts and services can be priced off them. You can then adjust the price on the series if you and the client agreed on something specific.

When you raise prices across the board, you change your service list for new bookings, and use the Recurring Clients list to change the price on upcoming visits for existing series. That keeps each client's price exactly where you agreed until you decide to change it. The details are in Changing Prices on Upcoming Repeat Grooming Visits Without Rebooking Anyone.

Frequency Discounts on the Booking Page

If you use the online booking page, the same idea applies. The customer picks a service and then picks how often. You set base prices per service, a price add-on per size, a minimum, and optional frequency discounts for repeat schedules. The customer sees their price instantly.

Because the frequency is a separate choice, a single Full Groom on the booking page can show a different price for one-time, every 6 weeks and every 4 weeks without three separate services. The request lands in Leads with everything they picked, and the office books the series from there.

Cleaner Reports, Easier Changes

With one service list, reports read the way you think about the business. Full grooms are full grooms. Cat grooms are cat grooms. You can still see who is on which frequency, because that is on each client's series and shows on the Recurring Clients list.

It also makes the office's life easier. A new office helper does not have to learn which of five near-identical services to pick. They pick the service, pick the frequency the client asked for, and move on.

Setting Up Your List

If you are moving from a setup with a service per frequency, the clean-up is simple: keep one version of each service, delete or retire the duplicates, and set the frequency on each client's series as you book them. Write your add-ons once, too.
