Cat Booking Requests in Leads: From the Book Now Form to a Confirmed Time
A new cat owner found you, tapped Book Now, picked a cat groom, added nail grinding and sent the request. Now what? The part between the request and the first appointment is where a lot of new clients are won or lost, mostly by how fast and how clearly the office answers.
In PetGroomBossPro, that part runs through Leads.
The Request Is Not the Booking
The last guide, Pricing Cats on the Online Booking Page, ended with the owner seeing a price and sending the request. Here is the one thing to be clear on: that request is not an instant calendar booking. The booking page collects what the owner wants and quotes it. The office confirms the time and books it.
For cats, that is a feature more than a gap. A cat appointment often depends on who is in the van that day, how long the coat is likely to take and whether the owner can be home at a set time. A person looking at the request can sort that out in a way a calendar widget cannot.
What Lands in Leads
Each booking request lands in Leads with everything the owner picked:
- The service, such as Cat Groom or Cat Lion Cut.
- How many pets, with each pet's name, breed and size.
- How often they want visits.
- The add-ons they chose.
- Their preferred day and time of day.
- The quoted price.
The business owner also gets an email for each new request, so a cat lead does not sit unseen while the van is out.
Reading a Cat Request
A few things to look at before replying to a cat request:
- Breed and size. A Persian marked Small and a Maine Coon marked Large tell you different things about the appointment.
- The service picked. If the owner picked a comb-out but wrote a breed that usually comes with heavy coat work, a quick text to ask about the coat is worth it.
- Other pets. If the request has a cat and a dog, plan the visit for both. See Cats and Dogs at the Same Home: Multi-Pet Visits in Cat Grooming Software.
- Preferred day and time. Check it against your cat days and which van has two people.
Replying to the Owner
Two-way texting from the office is usually the fastest way to answer. Something like: “Thanks for booking! We can do Tuesday at 10:30 for Mochi's cat groom. Does that work?” The owner replies, and the conversation stays with the client in the office instead of on someone's personal phone.
If the request needs more detail before you commit to a price, the office can send an estimate from your service list instead. The owner approves it online, and the approved estimate becomes the job with the pet details carried onto it.
Booking the First Appointment
Once the time is agreed, the office books the appointment with a set time and van. This is when the office marks each pet as Dog or Cat, fills in the coat, adds a rabies due date if the owner gave one, and writes any notes from the conversation, such as “owner says she hides, will have her in the carrier.”
If the owner asked for a repeat schedule, Add Recurring Grooming books the series on the same weekday, time and van every 6 or 8 weeks or whatever was chosen. Each visit waits on Pending Jobs until the office confirms it.
New requests that do not have a day yet can sit in Pending Jobs under “No Day,” so they are not forgotten while you work out where they fit.
Other Ways Cat Leads Come In
The booking page is one way. Your website request form and sign-up form also flow into Form Responses, and a sign-up (with a card captured) can be turned into a client in one click. Existing clients can request service from the customer app. However the request arrives, the next steps are the same: read it, reply, book a set time, and save the cat properly on the visit.
It also helps to agree as an office on how quickly cat requests get a reply. A simple habit, such as checking Leads at lunch and again before the end of the day, means no owner waits overnight for an answer. If the request needs a question answered before you can quote a time, send the question first rather than letting the request sit until everything is clear.
Fast, Clear Replies Win Cat Clients
Cat owners are often nervous about a new groomer. A quick, specific reply with a real time slot goes a long way. Leads keeps every request in one place with the details the owner gave, so the office can answer well the first time. For how booking fits with everything else cats need, see the cat grooming software page.
