Updating a Pet's Notes So the Next Groom Starts Right

The best thing about pet details that carry forward is that nobody re-types them. The risk is the flip side: if they are wrong, they are wrong every visit. A puppy entered as Small two years ago is now a Large doodle. The owner switched from a teddy bear face to a shorter summer cut. The dog who used to hate the dryer is fine now. Keeping pet notes current is a small habit that keeps every future groom on track.

The Next Visit Fills In From the Last One

In A Groomer and a Bather in One Van: Sharing the Day on the Groomer App, both people in the van read the same card. That card's pet details came from the last visit at that home. In PetGroomBossPro, the next visit fills in from the last one: the pets, breeds, sizes, coats, rabies due dates and notes.

That means whatever is on the card when the groomer finishes is what the next groomer will see in four, six or eight weeks. Updating it now is how you make the next visit right.

What Changes Most Often

Past Notes Versus the Pet's Notes

There are two kinds of notes, and knowing the difference keeps things clean:

If a change is permanent, update the pet's notes line. If it is a one-off, write it on the appointment. Past notes are covered in Past Notes in the Groomer App: How the Last Groom Went, Before This One Starts.

Keep Notes Short and Current

Over time, notes lines can grow into paragraphs as each groomer adds something. A note that reads “#7 body, teddy face. Actually owner wants #5 now. Ears long. Nervous dryer. Getting better with dryer. Muzzle nails” is hard to read at the curb.

When updating, rewrite rather than add. The same note, cleaned up: “#5 body, teddy bear face, ears long. Muzzle for nails. Dryer OK on low.” Shorter, current and readable in one glance.

Who Updates What

Decide as a team who changes pet details. Some businesses let groomers update notes directly, because the groomer is the one who just saw the pet. Others have groomers write what changed on the appointment and let the office update the pet, so there is one person keeping records tidy.

Either way works. What matters is that changes get made the same day, while the groomer still remembers, rather than waiting for the next visit when nobody does.

Updating Size Means Checking Price

When a pet's size changes, the price often should too. If your online booking page uses a price add-on per size, a dog that has grown from Small to Large would be quoted differently today. For a repeat client, the office can change the price for upcoming visits on the Recurring Clients list.

The groomer's job is to note the change. The office's job is to update the price and let the owner know before the next invoice arrives with a different number. That conversation goes better ahead of time than at the door.

Pet details also matter when a customer books another pet or a new service. If the office can see the current size and coat of every pet at the home, quoting a new service or adding a de-shed treatment is quick and accurate.

A Two-Minute Habit

At the end of each appointment, before tapping Complete, ask one question: is everything on this card still true? If yes, tap Complete. If not, fix it or write it down for the office. It takes a minute, and it means the next groom starts with the right information. New pets at a home are the next topic in the series.
