Updating the Card on File: Letting Grooming Clients Fix Their Own Payment Details

A card on file is the easiest way to get paid for a repeat groom, right up until the card changes. Cards expire. Banks reissue them. Customers lose wallets. Every repeat client will need a new card on file at some point, and how that update happens decides whether it takes ten seconds or ten phone calls.

Why the Customer Should Do It

The customer app, covered in Paying in the Customer App: How Grooming Clients See Their Invoices and Pay Online, is where customers see invoices and pay. It is also where they update their card.

There are good reasons to let the customer handle this rather than the office. The customer has the card in their hand. They can do it whenever it suits them, not when your office is open. And your office never has to write down, read back or store a card number someone said over the phone. That is better for the customer and better for you.

How It Works in PetGroomBossPro

In the PetGroomBossPro customer app, customers can update their card on file. Once the new card is saved, the next charge — whether at completion when the groomer taps Complete, or on a schedule — uses it. Nothing else about the client changes. Their pets, their repeat schedule, their van notes and their alerts all stay the same.

The office can still add a card for a customer who prefers that, but the customer app should be the normal path.

Keep in mind what does not change when a card is updated. The client's invoices stay attached to the client. Their repeat visits stay on Pending Jobs with the same planned day, time and van. Their past tips stay on the tips report. Only the card used for the next charge is different, which is exactly what the customer expects.

The Best Time to Ask

There are a few natural moments to ask a customer to update their card:

The worst time to ask is at the van door with a wet dog on the table. Leave that to the office and the app.

A Text That Gets It Done

With two-way texting from the office, a decline follow-up can be quick and polite. Something like:

Lead with the pet, mention the card plainly, point to the app and say thanks. Many customers fix it the same day. Replies come back to the office, so if someone has a question, the conversation stays in one place. The longer version is in Declined Cards After a Groom: What to Do When the Charge Does Not Go Through.

After the Update

Once the card is updated, the unpaid invoice can be charged again or the customer can pay it in the app. Either way, the invoice shows as paid in the customer app, and they can leave a tip on it if they want to. Future visits charge the new card on their own.

It is worth a quick look at unpaid invoices as part of a regular routine so updated cards get charged promptly. A routine for that is in A Weekly Billing Routine for the One-Van Grooming Business.

If a customer tells you they would rather not use the app, the office can still update the card for them. Treat that as the exception, though, and keep it short and private: take the details once, enter them, and do not write them down anywhere else.

Making It Normal From Day One

The easiest card updates happen with customers who already know the app. When a new customer signs up, tell them the app is where they will see invoices, pay, update their card and watch for the van on grooming day. Customers who use the app to see “You're stop 12 of 20” are customers who know where to update a card.

If your website sign-up form captured their first card, they have already done the hardest part. Updating it later is the same idea, just from their phone.

Self-service card updates keep repeat grooms charging and keep card numbers off your office phone. To see card updates alongside invoices, tips and past-due follow-up, visit the pet grooming invoicing software page.

Customers Update Their Own Cards

PetGroomBossPro lets grooming customers update the card on file in the customer app, so the next visit charges on its own.
