Moving a Mobile Grooming Business Off Paper and a Calendar App

A lot of mobile grooming businesses run on a familiar mix: a calendar app for appointments, a notebook in the van for cut notes, a personal phone for texts, and a card reader for payments. It works, more or less, for a while. Then the book fills, a second person joins, or the notebook goes missing, and the whole system starts to creak. Moving to one place for everything is less work than it looks.

Why the Paper System Stops Working

Pet records were covered in Pet History in a Mobile Grooming Business: The Cut, the Coat and the Notes That Carry Forward. On paper, that history is fragile. A notebook can get wet, lost or left at home, and only one person can read it at a time.

A calendar app has its own limits. It knows a time and an address, but not the pets, the coats, the add-ons or the price. Repeat appointments are copies that have to be edited one by one when something changes. And none of it is connected to texting or payments, so every groom means updating three or four places.

Signs It Is Time to Move

If two or three of those sound familiar, the business has outgrown the paper system.

What One System Replaces

PetGroomBossPro is meant to replace the calendar, the notebook, the texting and the invoices with one place:

Move the Client List First

Start with your clients. If they are in a spreadsheet or another system, a CSV import brings them across, and imported addresses are placed on the map automatically. If they are only in your notebook and calendar, type them in over a few evenings, starting with your regulars. That is covered in Switching Software With a CSV Import: Moving Your Mobile Grooming Business Client List.

Do not try to move years of old appointments. You only need the clients, their homes, their pets and the upcoming schedule.

Add Pets as You Go

You do not have to type every pet's notes before you begin. Add the basics for each pet, then fill in the cut and behavior notes as each one comes up for their next groom. Read your notebook entry, groom the pet, and type the note into the pet record. Because the next visit fills in from the last, each pet only needs this once. Within one full cycle of your regulars, the notebook is no longer needed.

Book the Repeat Schedule

Next, put each regular on their repeat schedule. Add Recurring Grooming books them on the same weekday, time and van every 4, 6 or 8 weeks, or whatever suits them. Start each series from their next planned visit in your old calendar. Every visit then waits on Pending Jobs with its planned day, time and van until you confirm it.

Run the old calendar alongside for a couple of weeks if it makes you more comfortable, then let it go.

Tell Customers About the Changes

Customers will notice good changes: reminders the night before, on-the-way texts, a live map, invoices and card updates in the customer app. Let them know before the first one arrives so it does not feel like spam. A short text is enough: “We've upgraded our booking system. You'll now get a reminder the night before and a text when we're on our way.”

Ask for a card on file at the same time, so future grooms can be charged on Complete. The payment side is covered in Getting Paid on Completion in a Mobile Grooming Business.
