Taking Time Off From Your Mobile Grooming Business Without Losing Clients

A lot of mobile groomers go years without a real break. The book is full, the regulars are loyal, and taking a week off feels like letting everyone down. But a groomer who never rests eventually burns out, and that costs more clients than any holiday. Time off is part of running the business well. It just needs a little planning.

Planned Time Off Is Easy to Handle

The everyday office habits that make this possible were covered in The Weekly Office Routine for a Mobile Grooming Business. With a routine in place, a week away is mostly a matter of moving visits and telling people.

Plan your time off early, ideally a couple of months ahead. Because repeat visits in PetGroomBossPro are written up front, you can see exactly which clients are booked during the week you want off.

See Who Is Affected

Every repeat visit waits on Pending Jobs with its planned day, time and van. Look at the days you plan to be away and you can see each client who is booked. Make a short list. For a one-van owner-operator, that might be a few days of regulars plus any new customers you had pencilled in.

Do not forget monthly accounts. A senior living pet day or a daycare bath day that falls in your week away needs a new date, or another groomer, and the account will want plenty of notice.

Move Visits, Don't Cancel Them

The aim is that every client still gets their groom, just a little earlier or later. For each affected visit, move it on Pending Jobs to a day before or after your break. The rest of the client's series stays where it is.

Pulling some visits forward a week before you leave, and pushing others back a week after you return, usually spreads the load well. Long schedules, like every 8 weeks, can stretch a little. Short ones, like every 4 weeks, are better pulled forward. You will be busy on either side of the break, so plan for full days.

If a client's regular slot needs to change for good, change the day or time for upcoming visits from the Recurring Clients list.

Tell Customers Early and Personally

Clients rarely mind a groomer taking a holiday. What they mind is finding out the night before. Text each affected client as soon as you have moved their visit: “Hi! I'm taking a week off in July, so I've moved Bella's groom to the Tuesday before. Does that still work?” Two-way texting from the office keeps the replies tied to each client, so you can tick them off as they confirm.

The night-before reminder still goes out for the new date, so customers get a fresh reminder close to the visit. The texting side is covered in Texting Customers From the Office in a Mobile Grooming Business.

Hand the Route to Another Groomer

If you have a second groomer, time off gets much easier. Instead of moving visits, you may be able to move them to the other groomer's van for the week. In PetGroomBossPro, each visit on Pending Jobs has its van, so you can move a visit to another van as well as another day.

The other groomer sees the same pet cards: breed, size, coat, cut and behavior notes, add-ons, van notes and past notes. Tell clients who will be coming, so they are not surprised by a new face. Some regulars will prefer to wait for you, and that is fine. The handover side is covered in Hiring a Second Groomer for Your Mobile Grooming Business.

Unplanned Days Off

Sick days and van breakdowns do not come with notice. Have a plan ready. Look at the day on the Scheduled list, text each customer from the office to explain and offer a new day, and move each visit on Pending Jobs. Because the client list, phone numbers and pet notes are all in one place, you can do this from your phone in bed.

If someone else in the business can make those texts and moves for you, write down the steps and make sure they have an office login with the right role.

Keep the Office Ticking

While you are away, the business keeps running quietly. Book Now requests still land in Leads and you still get an email. Customers can still see invoices and pay from the customer app. Estimate follow-up emails still go out. When you are back, catch up on Leads first, then texts.

Set a short auto-reply on your email and a note on your social pages if you like, so new customers know when to expect an answer. To see how Pending Jobs, texting and the customer app keep things moving, visit the mobile grooming business software page.
