Mobile Grooming Scheduling Software: The Complete Guide to Running a Van's Day
A salon groomer schedules a table. A mobile groomer schedules a van, and the van has to drive to every appointment, park at every house, hook up at every curb and leave on time for the next one. That makes scheduling the part of a mobile grooming business that decides whether the day feels calm or chaotic. This guide walks through how the schedule works in PetGroomBossPro from the first request to the last groom of the day.
Why Mobile Grooming Scheduling Is Different
This guide is the starting point for the mobile grooming scheduling software section, and each topic below has its own article in more detail.
Three things make a mobile grooming day harder to build than most service routes. First, appointments have set times. A pet owner who leaves for work at 8:15 needs to know the van is coming at 8:30, not “sometime Tuesday.” Second, the stops are uneven. A nail trim might take a few minutes, while a giant breed with a heavy coat or a home with three dogs can fill the morning. Third, the van has to drive between every stop, so the order matters as much as the times.
A plain calendar handles the first point and ignores the other two. A route planner handles the drive and ignores the times. Mobile grooming scheduling software has to keep all three on one screen.
Every Card Has a Time, a Van and the Pets
In PetGroomBossPro, every appointment is a job, and every job carries its appointment time, the van it is assigned to, and the pets at that home — up to four per visit, each with name, Dog or Cat, breed, size, coat and a notes line for the cut and behavior. The add-ons are ticked on the job, and the van notes say where to park and where the outlet or water hookup is.
Because the pets and the cut are on the card, the person building the day can see at a glance that the 9:00 is a Large Curly / Doodle with De-Matting ticked and the 11:30 is a single cat. That is the information you need to decide what fits. How the time itself is set and shown is covered in Setting an Appointment Time on Every Grooming Card.
The Scheduled List and the Route
The Scheduled list is where booked appointments live. Pick a day and you see everything on it; filter by van and you see just one van's day. From there you build the route:
- Auto-route Closest First starts near your shop or home base and works outward.
- Auto-route Furthest First drives to the far end first and works back toward home.
- Set the order by hand when a fixed early time, a late pickup or a parking rule means the map is not the whole story.
Most groomers auto-route first and then move the few stops with fixed times into place. The groomer's phone shows the same order with the same times, so nobody works from a different list. Saved views open the schedule filtered the way you use it, and route sheets print a van's day for anyone who wants paper on the clipboard too. The detail on routing starts in Closest First or Furthest First: Auto-Routing a Mobile Grooming Day From the Shop.
Pending Jobs: Building Tomorrow the Day Before
Most mobile groomers build tomorrow tonight. PetGroomBossPro is set up for that habit. When you book a client on a repeat schedule with Add Recurring Grooming — every 4, 6 or 8 weeks, monthly, or custom days, on the same weekday, time and van — every visit is written up front and waits on Pending Jobs with its planned day, time and van.
Pending Jobs shows those planned visits on a map and in a list, with day tabs that start with tomorrow. The day before, you open the tomorrow tab and confirm. One click keeps each visit's planned day, time and van, so a normal repeat day is confirmed in moments. If a client has asked to move, you change that one visit before confirming.
New requests show up on Pending Jobs too. Requests that do not have a day yet sit on the No Day tab, where you can see them on the map next to the visits you already have and drop them into a day with a van nearby.
Where New Appointments Come From
New work reaches the schedule from a few places:
- The Book Now page. A pet owner picks a service, how many pets, each pet's name, breed and size, how often, add-ons, and a preferred day and time of day, and sees their price. The booking lands in Leads with everything they picked and you get an email. It is a request, not an instant calendar booking, so you confirm the time before it goes on the day.
- The website request form and sign-up form, which flow into Form Responses. One click converts a sign-up into a client.
- Approved estimates, which become the job with the same pet details carried onto it.
- Phone calls and texts, entered by the office as a job.
During the Day: Texts, GPS and Changes
Once the day is confirmed, most of the communication runs on its own. Pet owners who want them get a night-before reminder. As the groomer heads to each stop, the groomer app sends an on-the-way text automatically, and an arrived text when the van pulls up. Customers pick which alerts they want: night before, when they're next, and when the groomer arrives. In the customer app they can watch a live map that says something like “You're stop 4 of 6 — the groomer is 2 stops away.”
In the office, every van shows on the map by GPS, so when a customer calls to ask about timing or a same-day request comes in, you can see which van is closest. If a groomer cannot do a visit — nobody home, the pet is not there, the weather turned — they tap Skip and note why, and the office sees the skip with the reason and can reschedule it.
One Van, Two Vans, and Monthly Account Days
The same schedule works for an owner running one van alone and for a business with several. Each van has its own day, and a groomer and a bather can share a van as one team. Monthly accounts — a senior living community pet day, a doggy daycare bath day, an apartment community — go on the schedule like any other appointment, and an account set to Monthly gets one statement each month covering every visit.
The rest of this section goes deeper on each piece: confirming tomorrow, placing new requests, rescheduling, skipped visits, reminders and texts, van GPS, the customer live map, route sheets, saved views, two-van days, long grooms and quick trims, multi-pet homes, repeat slots, account days, weather days, and what changes when you add a second van.
Where to Start
The fastest way to understand the schedule is to click around in one. The live demo is a fully-stocked sample mobile grooming company with appointments, vans and pets already loaded, and it needs no signup. When you are ready to load your own book, a CSV import brings clients and addresses in, and imported addresses are placed on the map automatically.
