Pet Grooming Invoicing: The Complete Guide to Billing, Tips and Payments for Mobile Groomers

A salon groomer has a front counter. The customer walks in, picks up the dog, and pays at the register. A mobile groomer has a driveway. The customer might be inside on a work call, at the office across town, or standing at the van door with a wallet they forgot to bring. The next appointment is already counting down, and the groomer still has to towel off the table.

That is why billing is harder for mobile grooming than it looks. The groom itself goes fine. It is everything after the groom — the bill, the payment, the tip, the follow-up — that tends to slip into the evening, or into next week, or into never.

Why Mobile Grooming Billing Breaks Down

This guide is the starting point for the pet grooming invoicing software section of the PetGroomBossPro site. It walks through the whole billing day, and each part links to a deeper article.

Most billing problems in a grooming van come from one gap: the invoice is made separately from the work. The groomer grooms two dogs, adds teeth brushing on one and nail grinding on the other, then later tries to remember all of that while typing a total into a payment app. Somewhere along the way the second dog gets charged the small-dog price, or the add-on never makes it onto the bill, or the customer gets a single number with no explanation and texts back asking what it was for.

The fix is not working harder at the end of the day. It is making the invoice come from the job, so whatever was groomed is what gets billed.

The Invoice Comes From the Job

In PetGroomBossPro, every job holds the pets at that home — up to four per visit — each with name, Dog or Cat, breed, size, coat and cut notes. The add-ons are ticked on the job: De-Shed Treatment, Teeth Brushing, Nail Grinding, Flea & Tick Bath, De-Matting, Ear Cleaning, or whatever extras you have set up. The next visit at that home fills in from the last one, so the pets and the services are already there when the groomer pulls up.

When the groomer taps Complete on the groomer app, the invoice is created from that job, with line items and sales tax, at the prices on your own service list. A home with a doodle, a schnauzer and a cat gets an invoice that shows each pet's groom and each add-on, instead of one round number. That clarity matters more than it seems: customers rarely argue with a bill they can read.

The details of building that invoice are covered in One Line per Pet: Building a Mobile Grooming Invoice the Customer Understands and Add-Ons on the Grooming Invoice: Teeth Brushing, Nail Grinding, De-Shed and Every Extra.

Card on File and Charging at Completion

Once the invoice exists, the next question is how it gets paid. For repeat clients, the simplest answer is a card on file. The card is saved once — from your sign-up form, from the customer app, or by the office — and it is there for every visit after that.

With a card on file, the card can be charged the moment the groomer taps Complete. The groom is billed and paid before the van leaves the driveway. Nobody knocks on the door with a card reader, nobody waits for a check under the mat, and the groomer moves to the next stop with the last one already closed out.

Some clients and some businesses prefer to bill later. For those, auto-charge can run on a schedule instead of at completion. Either way, the charge happens because the job happened, not because someone remembered to send a bill. Read Charging When the Groom Is Complete: Payment the Moment the Groomer Taps Complete for how that plays out on a real route.

The Customer App: Invoices, Payment, Card Updates and Tips

Your customers get their own app. In it they can see their invoices and pay online, update the card on file when theirs expires, request service, and watch the route on service day (“You're stop 12 of 20 — the groomer is 5 stops away”). The invoice also goes out by email, so a customer who never opens the app still gets the bill.

The customer app is also where tips happen. On a paid invoice, the customer can leave a tip of $10, $20, $30 or another amount. That matters for a mobile groomer, because the customer who was at work during the groom never had a chance to hand over cash. App tips land on the tips report, so the owner can see what came in and settle up with the team.

One thing to be clear on: the software reports tips. It does not split them. If your groomer and bather share tips, that is an office practice you decide on and then handle using the report. That subject has its own article later in this section.

The Exceptions: Declines, No-Card Clients and Past Due

Most grooms, once the cards are on file, need nothing from the office. The work is in the exceptions, and good invoicing software makes them easy to find instead of hiding them in a pile.

Monthly Accounts, Price Changes and Reports

Not every customer is a single household. Senior living communities with a monthly pet day, doggy daycares with a bath day, and apartment communities that host a groomer for residents often want one bill instead of a stack of them. In PetGroomBossPro an account set to Monthly gets one statement each month covering every visit.

Repeat clients also need their prices adjusted over time. The Recurring Clients list lets you change the price for upcoming visits, so a price increase shows up on the next invoice without retyping anything. If you offer a discount for repeat schedules on your booking page, that pricing carries through to the client too.

Finally, reports show what was billed, what was paid and what is still out, so the owner knows where the money stands without opening every invoice.

Where to Go From Here

The rest of this section goes one topic at a time: line items, add-ons, multi-pet homes, size and coat pricing, sales tax, estimates, card on file, charging at completion, schedules, invoice emails, the customer app, declined cards, no-card customers, past-due follow-up, tips, monthly statements, price changes, discounts, reports, currency and a weekly billing routine. The last article covers what to check when choosing invoicing software for a grooming business.
