Pending Jobs: Confirming Tomorrow's Grooming Appointments the Day Before

Every grooming business has a moment each day when someone looks at tomorrow and makes sure it is right. Who is booked, which van, what time, and whether anyone new needs to be squeezed in. In PetGroomBossPro that moment happens on one screen: Pending Jobs.

Where Repeat Visits Wait

In Set-Time Repeat Appointments Every 4, 6 or 8 Weeks in Mobile Pet Grooming Software we saw that every visit in a repeat series is written up front. Those visits do not go straight onto a groomer's phone. They wait on Pending Jobs, each with its planned day, time and van, until the office confirms them.

That one extra step is what keeps the schedule honest. A planned visit is a plan. A confirmed visit is a promise to the customer and a stop on the groomer's day.

A Map and a List

Pending Jobs shows the same work two ways. The map puts each planned visit and new request at its address, so you can see how tomorrow's homes are spread out and where a new request sits next to existing stops. The list shows the same visits with their planned day, time and van, so you can read through them quickly.

For a mobile groomer, the map is often the more useful of the two. A new request that sits two streets from a Wednesday regular is an easy fit for Wednesday.

Day Tabs, Tomorrow First

Pending Jobs is split into day tabs, and tomorrow comes first. That matches how most mobile grooming offices work: the schedule for a day is checked and confirmed the day before. Open the tab, look over tomorrow's planned visits, and confirm.

Confirming takes one click, and each visit keeps its planned day, time and van. There is no re-entering the appointment, no re-picking the van, and no typing the pets again, because the visit already carries them.

The No Day Tab

Not everything arrives with a day attached. A new booking request from your website, a one-time bath for a client who usually books every eight weeks, or an existing client asking to come early before a family trip. Those land on the No Day tab.

No Day is the inbox of the schedule. When you sit down to plan tomorrow, you look at what is already planned, then glance at No Day to see if anything new fits in an open slot or near a home already on the route. Online booking requests are covered in Online Booking Priced by Pet Size: The Book Now Page for Mobile Groomers.

When Something Needs to Move

Sometimes a planned visit should not be confirmed as it is. The client texted that they are out of town. The groomer for that van is off sick. A new client on the No Day tab would fit better at 10:30 than the regular who is flexible.

Pending Jobs is the right place to sort that out, because nothing has been promised yet. Move the visit to another day or van, then confirm. If the change is permanent, such as a client switching from Tuesdays to Thursdays, change it on the Recurring Clients list so every upcoming visit moves.

After Confirming

Once tomorrow is confirmed, the visits move to the Scheduled list for that day. From there you can filter by van, auto-route each van's day and print route sheets, and the groomer's phone shows the day in order with the set times on every card. The customers who chose a night-before reminder get it on their own.

Routing is covered next in Routes for Mobile Pet Grooming Vans: Ordering the Day Around Set Appointment Times.

Reading the Map Before You Confirm

Before confirming, it is worth one look at tomorrow on the map. If two planned visits sit at opposite ends of town at back-to-back times, that is easier to fix today than at 9:00 tomorrow with a dog waiting. If a No Day request sits right between two of tomorrow's stops, the map makes that obvious in a way a list never does. A minute spent here usually saves more than a minute of driving the next day.

Why the Day-Before Habit Works

Confirming the day before is a small routine that heads off a lot of trouble. The office catches the client who forgot to mention a trip. New requests get a slot while they are still fresh. Groomers start the morning with a day that someone has actually looked at. And because confirming is one click per visit, the routine takes minutes rather than an evening.

A solo groomer can do it from the couch after the last appointment. A multi-van company might have one office person who owns Pending Jobs every afternoon. Either way, the screen is the same.
