Cut Notes That Stay With the Client Across Every Repeat Grooming Visit
An owner who loved last visit's cut wants the same cut next time. That sounds simple until you remember the next visit is six weeks away, the groomer has done a hundred dogs in between, and the details were in somebody's head. Cut notes in PetGroomBossPro keep those details on the pet, on every visit in the series, for whoever picks up the clippers.
Where Cut Notes Live
The full list of what each visit carries is in Pets Carried Onto Every Visit: Why Nobody Re-Types the Dog on a Repeat Grooming Schedule. Cut notes are one line on each pet: the notes line for the cut and behavior.
Because the pets carry onto every visit and the next visit fills in from the last one, the cut notes do too. The groomer on visit nine sees what was written on visit one, plus anything added since.
What Groomers Put in Cut Notes
Every groomer writes these differently, and the software does not tell you how to groom. It just holds what you write. Some examples of the kind of thing groomers put in the notes line:
- “#7 blade body, teddy bear face”
- “Owner wants ears left long, tidy feet”
- “Lion cut, leave the tail tuft”
- “Short all over for summer, owner's request”
- “Bath & brush only, no clipping”
The point is to write what the next person needs to repeat the result the owner expects, in words your team understands.
Behavior Notes Belong There Too
The same notes line holds behavior. These are often more important than the cut, because they keep the groomer and the pet comfortable:
- “Nervous with the dryer”
- “Muzzle for nails”
- “Hides under the bed when the van pulls up, owner will have her in the carrier”
- “Sweet but jumps, use the leash in the van”
Anything that would surprise a groomer meeting this pet for the first time belongs in the note. These are notes about how this pet does in your van, not medical advice, and anything health-related is a conversation for the owner and their vet.
On the Groomer's Phone
On the groomer app, each pet shows on the appointment card with breed, size, coat and cut notes, along with the add-ons ticked for that visit, van notes and past notes from earlier visits. The groomer reads the card in the driveway and has the full picture before the pet steps into the van.
Then, on the grooming checklist, the groomer works through each pet — coat & skin checked on arrival, brushed out or de-matted, bath, dry, haircut and the rest — and can leave a note for the customer, like “matting behind the ears is coming back.” The office sees it on the job and can print a Grooming Report for the customer.
Updating Notes as Things Change
Cut notes are not set in stone. Owners change their minds, puppies grow into adult coats, and a dog that hated the dryer at six months may be fine at two years. When something changes, update the note so the next visit picks it up.
A few habits keep notes useful:
- Write what to do, not what happened. “Owner wants shorter face next time” is more useful than “owner said face too long.”
- Keep it short. One line the groomer can read in a few seconds.
- Remove old notes. If the dryer is no longer an issue, take it out, so the note stays trustworthy.
Consistency When Someone Covers
Cut notes are what make covering painless. When a groomer is out sick or on vacation, another groomer can run that van's repeat clients and still give each pet the cut the owner is used to. When you add a second van and move clients between groomers, the notes move with them. That is covered more in Two Vans, One Book of Repeat Clients: Splitting Recurring Grooming Across Vans.
It also helps you grow. A new groomer who joins your business does not have to learn a hundred clients from scratch. The book teaches them, one card at a time. If you are building a business that does not rely on one person's memory, this is where it starts.
Notes That Outlast the Season
Because cut notes live with the client's pets and not with a single appointment, they survive everything that happens to a series: day changes, van changes, price changes, extensions, even stopping and restarting. A client who comes back after a year away finds their dog's notes waiting. For the rest of the repeat tools, head back to the recurring grooming software page.
