Pets Carried Onto Every Visit: Why Nobody Re-Types the Dog on a Repeat Grooming Schedule
A repeat grooming client is not really a person on a schedule. It is a person plus a dog, or two dogs and a cat, each with a breed, a size, a coat, a cut and a personality. Any scheduling tool can repeat a time slot. The part that saves a grooming business real work is repeating the pets. In PetGroomBossPro, the pets ride along on every visit.
The Problem With Re-Typing
Handling vacations was covered in Vacations and Repeat Grooming: Skip, Reschedule or Stop. Whether a visit is skipped, moved or kept on its slot, the one thing that should never change by accident is the pet information on it.
When pets live in a notes box or in the groomer's memory, every visit is a chance for something to go wrong. The office books “Smith – full groom” and the groomer arrives without knowing there are two dogs now. A new bather does not know the shepherd needs a muzzle for nails. The cut changes from visit to visit because nobody wrote down the blade. Re-typing pets is slow, and it is how mistakes get in.
What Each Visit Holds
Every visit in PetGroomBossPro holds the pets at that home, up to four per visit. For each pet:
- Name, so the groomer greets Biscuit, not “the dog.”
- Dog or Cat.
- Breed, typed in by you.
- Size: Toy, Small, Medium, Large or Giant.
- Coat: Short / Smooth, Medium, Long, Double Coat, Curly / Doodle, Wire or Hairless.
- Rabies due date, which the groomer or office types in from the owner's paperwork.
- A notes line for the cut and behavior: “#7 blade body, teddy bear face,” “nervous with the dryer,” “muzzle for nails.”
The visit also carries the add-ons ticked for it and the van notes for the address: where to park, the gate code and where the outlet or water hookup is.
The Next Visit Fills In From the Last
Here is the part that makes repeat grooming easy: the next visit at that home fills in from the last one. When you book a series with Add Recurring Grooming, every visit is written with the pets. And when something changes — a new rabies due date, a new note like “matting behind the ears is coming back” — the following visit picks it up.
So the groomer opens the card for the fifth visit in a series and sees the same pets, the same cut and the latest notes, without anybody in the office touching it. Estimates work the same way: when a customer approves an estimate, the pet details on it carry onto the job.
Why It Matters for the Groomer
The groomer reads the card in the driveway and knows the job before opening the van door. Each pet is listed with breed, size, coat and cut notes, plus past notes from earlier visits. There is no phone call to the office asking which dog gets the lion cut, and no guessing about the blade.
It also makes covering easy. If a groomer is out and another one takes the route, the stand-in has the same information the regular groomer has. The client gets a consistent groom even on a day their usual person is off. The cut notes in particular are covered in Cut Notes That Stay With the Client Across Every Repeat Grooming Visit.
Why It Matters for the Office
The office books a client once and never again types the pets for that series. Changing a slot, a price or a van on the Recurring Clients list leaves the pets alone. Extending a series writes more visits with the same pets. Even stopping and restarting a series, to change frequency, brings the pets across.
The rabies due date is a good example. You type it in once from the owner's paperwork, and it shows on every visit after that. When the owner sends a new date, type it in, and it carries forward.
Keeping Pet Details Current
Carrying pets forward only helps if the details are right. A few habits keep them that way:
- Check every pet carefully when you first book the series.
- Have groomers update notes on the job when something changes, so the next visit picks it up.
- When a family gets a new puppy or loses an old dog, update the pets right away.
With those habits, every visit starts with the truth. To see how carried-forward pets fit with fixed slots and the rest of the repeat tools, go back to the PetGroomBossPro recurring grooming software page.
