Keeping Each Visit's Planned Day, Time and Van With One Click

A repeat grooming client has made a deal with you: same day, same time, same van. The software's job is to keep that deal without the office having to re-make it every visit. In PetGroomBossPro that is what the one-click confirm on Pending Jobs does. It sounds small, and that is the point.

What “Planned” Means

The day-before routine is walked through in Confirming Tomorrow's Repeat Grooming Visits the Day Before. This piece looks closely at the confirm click itself and what it protects.

Every visit in a recurring series is written with three planned values: the day it should land on, the time the van should arrive and the van that should do it. Those come straight from the series you booked with Add Recurring Grooming. While the visit waits on Pending Jobs, those planned values travel with it.

What the One Click Does

When the office confirms tomorrow's visits, the click keeps each visit's planned day, time and van exactly as they were. The visit moves to the Scheduled list for that day, under that van, at that time. The groomer's phone shows it in order with its set time, and the customer's reminders and alerts use that same time.

Nothing gets retyped. Nobody has to remember that the Johnsons are 10am, not 10:30. Nobody has to drag a visit onto the right van. The plan becomes the schedule.

Why Keeping the Slot Matters

Small drifts are how repeat clients get lost. A visit that slides from 10 to 11 because someone retyped it wrong. A client who ends up in Van 2 one week, with a groomer who does not know the dog. A Tuesday client who gets bumped to Wednesday because the office built the day from scratch and forgot them until the end.

Each one of those is a small annoyance for the customer. Enough of them, and the customer starts wondering whether they should look around. Keeping the slot by default, with one click, takes those drifts off the table. The reasons slots matter in the first place are covered in Why Set Slots Work: Same Weekday, Same Time, Same Van for Every Repeat Grooming Client.

When You Do Want a Different Day, Time or Van

Sometimes the plan should change, and there are two ways to do it depending on how long the change lasts.

Knowing which tool to reach for keeps the series clean. A one-off change belongs on the visit. A lasting change belongs on the series.

A common mistake is using a one-off move for what is really a lasting change. If you notice yourself moving the same client's visit to Thursday every time, that is the software telling you the series should be on Thursday. Change it on the Recurring Clients list and the confirm click will keep the new slot from then on.

The Set Time on the Groomer's Card

Grooming is an appointment business, so the time matters more than it does for many field trades. In PetGroomBossPro the appointment time shows on every card on the groomer's phone and on every card in the Scheduled list. When the groomer looks at the day, they see not just the order but when each client is expecting them.

That helps on the road. If a long doodle groom is running over, the groomer can see right away that the 12:30 cat is the next set time to protect, and the office can text the client if needed. The automatic on-the-way and arrived texts still go out as the groomer works.

The Office's Attention Goes Where It Should

The real gain from a one-click confirm is not the seconds saved per visit. It is that the office stops spending attention on visits that are fine, and spends it on the few that are not: the new request to fit in, the van that is down, the client who needs a different day. Everything else holds its slot on its own.
