Every Visit Written Up Front: How a Recurring Grooming Series Is Created

There are two ways software can handle a repeating appointment. It can keep a rule, like “every 6 weeks on Tuesday,” and create the next visit only when the last one is done. Or it can write out every visit in the series the moment you book it. PetGroomBossPro does the second. Here is what that means and why it matters for a grooming van.

What Happens When You Save a Series

Picking the service and frequency is covered in One Service List, Many Frequencies: Picking the Repeat Grooming Schedule Per Client. When you finish Add Recurring Grooming and save, the software takes the frequency, the weekday, the time and the van and writes out each visit in the series.

Every one of those visits is a real job waiting on Pending Jobs. Each has:

You Can See the Future

The biggest benefit of writing visits up front is that the coming weeks are visible today. Open Pending Jobs and look ahead, and the repeat visits are already sitting on their days.

That answers questions that used to take a paper book and a pencil:

A rule-only system can only guess at those answers. A written series shows them.

It helps with time off, too. If you are planning a week away, you can look at that week on Pending Jobs before you book the trip, see exactly which repeat clients land in it, and decide whether to move them earlier, later or to another van. With a rule-only system you would not find out who was affected until the week arrived.

Each Visit Can Be Handled on Its Own

Because each visit is its own job, you can deal with one visit without touching the rest. If a client is away for one appointment, that single visit can be skipped or moved to another day, and every other visit in the series stays put. If a groomer is out sick, tomorrow's visits can be moved to another van for the day.

Changes to the whole series happen on the Recurring Clients list instead. Change the day, time, van or price there, and the upcoming visits follow. So you have both levels: change one visit, or change everything going forward. Vacations in particular are covered in Vacations and Repeat Grooming: Skip, Reschedule or Stop.

Why Visits Wait Instead of Going Straight to the Schedule

Written visits do not jump straight onto the groomer's phone. They wait on Pending Jobs until the office confirms them, usually the day before. That gives the office one moment to look at tomorrow on purpose: who is sick, which van is in the shop, which client texted about a change.

Confirming is one click, and it keeps each visit's planned day, time and van. So the extra step is small, and it catches problems before the van leaves rather than after. The full routine is in Pending Jobs: Where Repeat Grooming Visits Wait Until the Office Confirms Them.

When a Series Runs Low

A written series has an end. When a long-term client is getting near the last written visit, you extend the series from the Recurring Clients list and more visits are written on the same slot. If the client is leaving, you stop the series instead and the upcoming visits are cleared.

Keeping an eye on series that are running low is a good habit for a quiet afternoon. A loyal client should never fall off the schedule just because nobody extended them.

Because every visit is written with the pets on it, it also matters that the pets are right when you save. A typo in a breed or a missing cut note will be copied onto every visit. Take a moment on the booking form to check each pet, and the whole series benefits.

Written Once, Groomed Many Times

Writing every visit up front is what lets the rest of the repeat system work: Pending Jobs, one-click confirm, honest capacity, and pets and cut notes already on every card. To see all of it in one place, go back to the recurring grooming software page.
